Quoting is one of the most common places we find real money sitting still. It is rarely complicated work. It is just work that queues behind one busy person.
What the process looked like
An enquiry arrives by email. Someone reads it, finds the right pricing, checks a previous job for reference, writes the quote, has it reviewed, then sends it. Nothing in that chain is hard. All of it waits.
Three days was normal. A week was not unusual in a busy month, and by then a competitor had often already answered.
What changed
- The enquiry is read and structured automatically, so nothing waits in an inbox
- Pricing is pulled from one agreed source rather than from memory
- A draft quote is written and put in front of a human for approval
- The approved quote sends itself and logs against the deal
The person still decides. They just stop doing the typing, the looking up and the chasing.
What it felt like afterwards
The obvious gain is speed. The quieter gain is consistency: every quote now reads the same way, prices the same way, and lands in the same place. The estimator stopped being a bottleneck and started being a reviewer.
That is the shape of a good AI use case. Not a clever demo, just an ordinary process that stops waiting on one person.
